Client Overview
The client is a smart HVAC and home system solutions provider, managing high volumes of service operations and job orders through SAP, while using Salesforce for customer and sales management.
Due to disconnected systems, teams lacked real-time access to operational data, impacting efficiency and decision-making.
Problem Statement
The organization was dealing with fragmented systems where SAP and Salesforce operated independently. Job order data generated in SAP was not available in Salesforce without manual intervention, leading to delays and inconsistencies.
The process relied on manual data transfers and periodic updates, increasing the risk of errors and outdated information. Sales and service teams often worked without complete visibility, affecting response time and customer experience.
Additionally, there was no standardized integration architecture, making it difficult to scale or introduce new systems in the future.
Solution Overview
We designed a MuleSoft-based integration architecture to enable secure, automated data exchange between SAP and Salesforce.
A scheduled process was established to extract job order data from SAP daily after 12:00 AM. This data was securely generated and transferred to an FTP server, ensuring reliable and consistent data availability.
MuleSoft was used as the central integration layer to process, transform, and push the data into Salesforce in a structured format aligned with CRM objects.
To improve data quality and efficiency, we also implemented RPA and IDP components. These helped validate, process, and structure incoming data before it entered Salesforce, reducing errors and manual dependency.
The overall architecture was designed to be scalable, allowing future integrations without major system changes.
Implementation Approach
The project followed a structured and practical implementation approach.
We started with data mapping between SAP and Salesforce to ensure accurate transformation and alignment. MuleSoft APIs were developed to handle ingestion, processing, and delivery of data.
A secure FTP mechanism was configured for file transfer, along with validation and error-handling processes. RPA bots were deployed to automate repetitive validation tasks, while IDP handled semi-structured data inputs where required.
The solution was tested thoroughly to ensure consistency, accuracy, and performance before deployment.

The implementation significantly improved operational efficiency and system visibility.
Job order data became automatically available in Salesforce, eliminating manual effort and reducing errors. Sales and service teams gained access to real-time data, improving response time and customer interactions.
The integration also enhanced reporting and tracking capabilities, enabling better decision-making. With a scalable architecture in place, the organization is now well-positioned to expand its systems and operations without additional complexity.
